Norbert Gloser, Head of the IT Department at the Offenbach City Council outlines the mission-critical nature of email and the requirements for implementing email archiving: "Email plays a crucial role for the day-to-day activities of city employees and is key to providing them with a highly productive environment. From a legal perspective, email needs to be archived in such a way that access to archived data is easy and finding the information is quick. Moreover, the guidelines of data access and verifiability of digital documents (GDPdU), the German Commercial Law (HGB) and other legislation have made the introduction of an email archiving system a compliance requirement.

"Our main objective for introducing an archiving system was to reduce the storage costs of the live GroupWise system, as well the amount of time our personnel spent searching for email records. In addition, we wanted to strengthen our position in the event of court proceedings and have all the data that is required to undergo audits stored in a centralized archive."
